You serve as a trusted partner who helps optimize executive effectiveness through proactive calendar management, meeting coordination, travel planning, communications support, and cross-functional collaboration. This role requires strong judgment, professionalism, attention to detail, and the ability to manage multiple priorities in a fast-paced, high-growth environment.ResponsibilitiesManage complex executive calendars across multiple time zones, including prioritization of meetings, scheduling conflicts, and shifting business prioritiesCoordinate internal and external meetings, leadership reviews, team events, and other business activitiesArrange domestic and international travel, including itineraries, accommodations, transportation, and expense coordinationPrepare and organize meeting agendas, presentations, materials, and follow-up actionsSupport day-to-day operational needs of assigned executive leaders to ensure efficient workflow and executionTrack action items, deadlines, and key deliverables to help maintain alignment and accountability across stakeholdersMaintain organized records, documentation, and filing systems as neededHandle confidential and sensitive information with a high degree of discretion and professionalismServe as a point of contact between executive leaders and internal or external stakeholdersDraft, proofread, and edit correspondence, presentations, reports, and other business communicationsBuild strong working relationships across teams and functions to support collaboration and executionExercise sound judgment in prioritizing requests, resolving scheduling challenges, and escalating issues when appropriateSupport planning and coordination of executive meetings, offsites, and cross-functional eventsLeverage productivity and AI-enabled tools to improve organization, efficiency, communication, and administrative workflows QualificationsMinimum Qualifications4+ years of experience supporting senior leaders or executives in a fast-paced, complex business environmentStrong organizational, prioritization, and time management skills with exceptional attention to detailDemonstrated ability to manage sensitive and confidential information with professionalism and discretionExcellent written and verbal communication skillsProven ability to work independently, adapt quickly, and manage multiple priorities simultaneouslyExperience coordinating complex calendars, travel arrangements, meetings, and executive communicationsProficiency with collaboration and productivity tools such as Google Workspace, Microsoft Office Suite, Slack, and related business applicationsExperience using AI tools (ChatGPT, Copilot, Claude, etc.) to accelerate and elevate your outcomes; including but not limited to communication drafting, data analysis, prompt engineering, and/or documentation Preferred QualificationsExperience supporting leaders within a SaaS, technology, or high-growth organizationExperience coordinating executive-level meetings, offsites, or cross-functional initiativesBachelor’s degree preferred or equivalent combination of education and relevant experience Travel RequiredUp to 10%Other DutiesPlease note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities required of the employee for this job.
